Sort by intent, not by recency

The newest message is rarely the most important one. Triage into three piles:

  • Ready to move — a question about price, timing, or process. Answer these first, within the hour.
  • Warm but early — interest without a question. These need one thoughtful message, not a push.
  • Not now — a polite no, or silence after a real exchange. Schedule a future touch and move on.

Keep the context attached

A reply without its history is a guess. Whatever tool you use, the thread, the notes, and the next step should live in one place — reconstructing context is where hours quietly disappear.

An organized inbox is not about tidiness. It is about never making a warm person wait.
