Everyone measures reply rate. Almost nobody measures what happens after the reply — and that is where deals are actually made or lost.

The gap after "sounds interesting"

A prospect answers. Now you need to respond with context, clarify what they meant, and move toward a time — without sounding like a scheduling bot. This is the moment templates break: the other person went off script.

A structure that holds

  1. Acknowledge the specific thing they said. Not "thanks for your reply" — the actual content.
  2. Answer the question behind the question. "How much is it" often means "how much work is this for my team".
  3. Offer one concrete next step. A single time window beats a calendar link dropped cold.

Timing matters more than polish

Replies that arrive within the hour convert at a different order of magnitude than replies that arrive the next day. Speed is a form of respect.

You cannot template a conversation. You can only prepare for one.

Keep the thread alive with real answers, and keep your notes in one place so the third message remembers what the first one said. Deals close on memory as much as on merit.
